1. Introduction

This Acceptable Use Policy outlines the rules and expectations for using the Service, including AI and machine learning (ML) technologies. It aims to ensure safe, secure, ethical, and lawful use of the Service by all users.

By using the Service, You agree to comply with this Policy. Violations may result in suspension, termination, or legal consequences.

2. Our Commitment

We recognize the transformative power of AI and its potential to enhance innovation and efficiency. We are equally committed to mitigating its associated risks through ethical, transparent, and lawful use.

This Policy reflects our values-based approach to responsible AI adoption. As the landscape evolves, we will regularly review and update this Policy to reflect new technologies, regulations, and best practices.

3. Scope and Applicability

  • Scope: This Policy applies to all employees, contractors, vendors, and partners involved in designing, developing, managing, or interacting with AI systems on behalf of the Company.

  • Purpose: To ensure that AI technologies are used in a responsible, secure, and legally compliant manner - maximizing value while mitigating potential harms.

4. AI Governance

  • Oversight: A cross-functional team oversees AI policies and ensures alignment with legal, ethical, and business standards.

  • Roles & Responsibilities: Clear accountability is defined for all stakeholders involved in AI projects.

5. Ethical Principles

We require adherence to the following when developing or deploying AI:

  • Respect for Human Rights: AI must support privacy, expression, non-discrimination, and fairness.

  • Fairness: Avoid unfair bias in AI outcomes. Decisions should be explainable and justifiable.

  • Transparency & Accountability: AI usage must be explainable to users and stakeholders. Consent or documentation may be required depending on context.

  • Regular Review: AI systems must be assessed at least annually for ethical, legal, and performance standards.

6. Usage Guidelines

Employees using generative AI platforms (e.g., ChatGPT, DALL·E, Codex) must follow these rules:

  • Authorized Use Only: Use only Company-provisioned accounts for work-related purposes.

  • Use Case Boundaries: AI may be used to improve productivity, but not to make unreviewed critical decisions.

  • Approval Required: Any integration of AI into tools or workflows must be reviewed and approved by the Company.

  • Training: All users must complete Company-provided training on AI use, risks, and compliance obligations.

7. Data Privacy & Protection

To ensure the security of data used with AI tools:

  • Do not input Internal, Personal, Company Confidential, or Customer Confidential Information into AI platforms unless explicitly permitted.

  • AI tools must be licensed at the enterprise level and reviewed by relevant teams within the Company.

  • Generative AI models must not “learn” from our data in a way that exposes it externally.

  • Follow all applicable data protection laws (e.g., GDPR, CCPA) and company retention policies.

  • Always use secure environments for interacting with AI tools.

  • Do not store chat logs longer than necessary. Anonymize or delete as per policy.

  • Periodically audit AI use and access controls for compliance.

8. Development & Vendor Controls

  • Development: Follow secure and ethical development practices. Test rigorously before deployment.

  • Vendor Review: Evaluate third-party AI vendors for compliance with Company standards.

  • IP Caution: Do not use generative AI for patentable or copyrightable work without Legal approval due to potential third-party rights risks.

9. Monitoring, Training, and Enforcement

  • Audits: AI usage and compliance will be monitored and reviewed regularly.

  • Incident Response: Report misuse or malfunction promptly.

  • Training: All users must complete AI ethics and data handling training.

  • Legal Compliance: All AI usage must comply with applicable laws and Company policies.

10. Reporting & Whistleblower Protections

  • Violations may result in disciplinary action, up to termination or legal sanctions.

  • Report incidents or breaches through appropriate internal channels.

  • Retaliation against whistleblowers is strictly prohibited.

11. Waivers

Exceptions may be granted via the Company’s formal Waiver Process.

12. Enforcement

  • Employees who violate this Policy may face disciplinary action, including termination.

  • Vendors may face penalties including contract termination and access revocation.
